Why spreadsheets are costing you more than you think

Let's be clear first: spreadsheets are brilliant. For analysis, one-off modelling and quick answers, nothing beats them. Every business we work with uses them, and so do we.

The problem isn't the spreadsheet. It's what growing businesses quietly turn spreadsheets into: an operating system. The job tracker, the quote log, the holiday planner, the stock list — living documents that the business cannot run without. Re-typing

A spreadsheet can't receive an enquiry, so someone re-types it from an email. It can't send an invoice, so someone re-types it into the accounts package. When something goes wrong, a spreadsheet can't tell you what changed, when, or who changed it. There's no audit trail, no approval step, no "this quote was sent at 14:32". For anything compliance-adjacent — and more of your business is compliance-adjacent than you think — that's a real exposure.

The version problem

"Final_v3_JS_ACTUAL.xlsx" is funny until two people quote the same customer different prices from different copies. Shared drives helped; they didn't solve it. The moment a document is both edited by many people and relied on for operations, versioning is a business risk, not an IT nuisance.

A quick honesty test

Open your most important operational spreadsheet and ask three questions. If it disappeared today, would the business struggle this week? Do more than two people edit it? Does its data get re-typed into or out of any other system? One yes means it's worth watching. Three yeses mean the spreadsheet has become a system of record — a job it was never designed for.

What replaces it (and what doesn't need replacing)

The answer usually isn't "buy software with the right name on it" — off-the-shelf tools often recreate the same problem with nicer branding, forcing your workflow into their boxes and charging per seat for the privilege.
