AI that does admin, not AI strategy

We put AI to work inside your operations — reading documents, triaging inboxes, drafting for approval — always with a human checkpoint, always attached to a number.

Sound familiar?

“We should be doing something with AI”

The pressure is real, the advice is vague. Everyone says start; nobody says where.

Tried ChatGPT, nothing stuck

A few people use it for emails. Nothing changed in how the business actually runs.

Drowning in documents and messages

Invoices, enquiries, PDFs, threads — the exact mess AI is genuinely good at reading.

Worried about hype and data

You suspect half of it is snake oil, and you're right to ask where your data goes.

What AI is genuinely good at in a small business

The short list: reading, sorting, drafting and matching — the human-language mess ordinary software could never handle. Each of these is a pattern we can build, tailored to your workflows on a free discovery call.

Invoice and receipt data capture

AI-assisted

A purchase invoice or receipt is read automatically for supplier, net, VAT, gross and due date, then posted as a draft in the accounting system for a quick approval instead of manual keying.

Smart triage for the shared inbox

AI-assisted

Every message landing in a shared inbox is read and classified as sales, support, accounts or supplier, then routed to the right person or channel and logged against the sender.

Summarise long threads and draft a reply

AI-assisted

A long back-and-forth email chain is summarised down to the outstanding question and a suggested reply is drafted from the account history, ready for a person to review and send.

PDF documents into a spreadsheet or system

AI-assisted

Structured fields from price lists, forms and timesheets that only exist as PDFs are extracted, validated and written straight into the target spreadsheet or system of record.

Supplier quote comparison from emails and PDFs

AI-assisted

Supplier quotes arriving by email and PDF are read and laid out side by side on price and terms, with a summary for a buyer to make the call instead of collating them by hand.

Meeting minutes and action items

AI-assisted

A meeting recording is turned into concise minutes and a list of actions, with tasks created and assigned to owners, so decisions and follow-ups are not lost after the call ends.

Flag high-value and legal-risk emails

AI-assisted

Incoming mail is checked against account value and risk wording (solicitors, GDPR, a regulator) so anything sensitive is pushed straight to a manager with the message and account context attached.

Website chatbot that knows your business

AI-assisted

A site assistant answers common questions from your own content, hands off cleanly to a person when needed, and captures the visitor's details as a CRM lead so enquiries are not missed out of hours.

Our three rules for AI that pays for itself

1

A human stays in charge

AI reads, sorts and drafts; a person approves anywhere an error would cost money. Every AI step we build has a checkpoint — that's the difference between automation and a cautionary tale.

2

Attached to a number

Every AI feature is tied to hours saved, errors prevented or faster response — measured against the fully-loaded cost of doing it by hand. No number, no build.

3

Inside your system, one fee

AI capability arrives as modules in the system that runs your quotes and jobs — covered by the same fixed monthly fee. No separate AI project, no per-token surprise bill.

What we'll tell you AI can't do

Half the value of working with people who build this daily is hearing the "no" early. AI won't:

  • Fix a broken process — AI on top of chaos is faster chaos. Process first, AI second.
  • Replace your system of record — AI reads and writes; it doesn't store. One trustworthy home for customers, jobs and money still comes first.
  • Know what you never wrote down — an assistant is only as good as the policies and prices you give it.
  • Make unsupervised final decisions — confidently wrong a small percentage of the time is too often when it lands on an invoice.

Proof over promises: the adviser in the corner of this site is one of ours — grounded in our own content, honest about its limits. Ask it something.

How it works

Discovery call

Where does your team's time actually go? We find the tasks worth automating.

Free · no obligation
02

Scope & plan

A fixed proposal: what gets automated, how your systems connect, what it costs, what it returns.

03

Build & go live

Staged delivery with quick wins first — your team keeps working while the system takes shape.

04

Run & improve

We host, support and keep improving it. As your business changes, the system changes with it.

Straight answers on AI

Do you do AI implementation for small businesses?

Yes — as part of the operational systems we build and run. We put AI to work inside your workflows: reading invoices and documents into your system, triaging shared inboxes, drafting quotes and replies for human approval, matching payments to invoices, and website assistants grounded in your own content. We don't sell AI strategy decks — every AI feature we build is attached to a specific pile of admin it removes.

Will AI replace my staff?

In a 5–50 person business, realistically no — and that's not the goal. AI removes the reading, re-typing, chasing and drafting that eats your team's day, so the people you already pay spend their time on work that needs judgement. Our clients' aim is usually to grow without the next admin hire, not to cut the team they have.

What happens to our data when you build AI into our system?

It's a design decision, made explicitly with you — which model sees what, where it runs, and what gets retained. Your system runs on a dedicated private server, AI steps only see the data they need, and UK GDPR applies to every one of them. We're ICO-registered and treat AI components with the same care as the rest of your system.

What does AI implementation cost?

For a typical small business, AI features are modules within a system build (builds from £12k, live and managed from £800/month) rather than a separate project — and the model usage costs at SME volumes are pennies against the admin hours removed. Smaller standalone AI automations, like invoice reading into your existing accounts package, are scoped individually. The discovery call and scoping are free, and if AI isn't the right tool for your process we'll say so.
